Refund Policy
Weather Policy
The safety and comfort of our guests are very important to us. Because weather conditions in coastal areas can be unpredictable, the following policy outlines when refunds or rescheduling options may be offered due to weather-related events.

Refunds or rescheduling will be considered only if one or more of the following conditions occur during the guest’s scheduled stay and directly impact the property or guest access:
-
A Hurricane Warning or Tropical Storm Warning is issued by the National Weather Service for Bethany Beach, Delaware
-
A mandatory evacuation order is issued by state or local authorities affecting Bethany Beach
-
A government-issued state or local emergency declaration requires closure of Bethany Beach Center or prevents guests from accessing or safely remaining at Bethany Beach Center
-
Severe coastal flooding or storm surge renders Bethany Beach Center inaccessible or unsafe
In these circumstances, guests may be offered a refund, partial refund, or the option to reschedule, at management’s discretion, based on the timing, duration, and severity of the event.

Refunds or rescheduling will not be provided for the following conditions, which are considered normal or foreseeable risks of coastal travel:

-
Rain, thunderstorms, or overcast weather
-
Wind advisories or general weather forecasts
-
Heat advisories or high temperatures
-
High surf conditions, rip currents, or ocean swimming advisories
-
Temporary restrictions on water activities that do not affect access to the property itself
-
Weather conditions that do not result in official warnings, evacuations, or emergency orders

General Refund Policy
Our goal is an amazing faith-filled event for your group. We also need to be good stewards of Bethany Beach Center and face the challenges of maintaining this non-profit ministry for generations to come. Once a group has committed to a date and specific facilities, we remove those facilities as reservations options for other guests. A group later reducing their committed facility use makes it difficult for us to identify new groups to fill that space with limited time remaining before the event. As such, we have a required deposit schedule of 10% to reserve a date, 50% payment 120 days prior and full payment 30 days before your event.

These deposits do not imply that changes cannot be made prior to the 30 day final payment. Changes can be made up to that point and any deposits paid will still be fully applied to the final payment due based on the reservation details 30 days prior to your event. However, once deposits are paid, those amounts cannot be refunded with the exception of the extreme weather conditions outlined above. If changes to the event reduce costs below the amount of deposits already paid, there will be no refund of the deposits already paid or any application of excess amounts paid to future programs or activities.

Please note that refunds of individual room costs or meal plan fees cannot be provided due to illness or inability of individuals to participate in the event. Once an event is within 30 days, the specifics and costs for the event are final. There are many event and travel insurance providers that will offer policies to cover travel and liability risk for event participants. Many of these are very low cost and provide peace of mind for everyone.
